PROGRAM LEADER
PRIMARY FUNCTION:
Under the general supervision of the Unit Direct, the Program Leader plans, implements, supervises and evaluates all six core program activities. Must be cooperative, friendly and create a safe and harmonious environment. Abide by and support the Club mission to inspire and enable all young people to reach their full potential as caring, productive and responsible citizens.
KNOWLEDGE & SKILL:
- A.A. Degree or 48 credits from an accredited college or a paraprofessional certificate.
- Experience in working with children and knowledge of youth development.
- Ability to manage multiple tasks at any given time, motivate youth, manage behavior problems and work directly with the general public.
- Ability to get along with diverse personalities, at all times displaying tact, maturity and flexibility.
- Ability to effectively communicate with, organize and supervise members in a safe environment.
- Possess basic qualities of good character, personality and leadership that promote a positive image of the Boys & Girls Club.
- Good reasoning abilities and sound judgment.
- Ability to plan and implement quality programs for youth.
- Possess and maintain a valid California Drivers License and be approved by the Club's auto insurance provider.
- Mandatory CPR and First Aid Certifications; pass TB test, annual background screen and fingerprinting.
KEY ROLES:
- Create a safe environment that facilitates the achievement of Youth Development Outcomes, promote program participation and provide guidance to members functioning as a role model
- Effectively implement and administer programs, services and activities for members and visitors.
- Register new members and participate in new member and volunteer club orientation
- Work with required staff to monitor and evaluate programs, services and activities to ensure safety of members, quality in programs and appearance of the unit at all times. Prepare periodic activity reports.
- Must be prepared to provide guided tours and answer questions.
- Ensure a productive work environment by participating in weekly unit staff meetings, and all-staff meetings as scheduled by the Director of Operations
ADDITIONAL RESPONSIBILITIES:
- Plan, organize, supervise, implement and evaluate age appropriate programs and activities.
- Provide leadership and guidance to members concerning program and activities.
- Promote and stimulate participation and interest of all members in activities.
- Responsible for the maintenance and operation of the club facility with emphasis on safety and sanitary conditions.
- Maintain equipment inventory and requisition departmental supplies as needed.
- Complete monthly calendar and statistical reports concerned with departmental participation and attendance. Submit daily and monthly program reports to the Unit Director.
- Assist with all Club-wide special events as required.
- Administer first aid when necessary and fill out appropriate Accident/Injury report as needed.
- Attend mandatory staff meetings and any conferences or training sessions that the position requires.
- Boys & Girls Club staff shirts and badges must be worn during Club operating hours and all Club outings where members are present. Staff shirts and badges will be supplied. See Unit Director if replacements are needed.
- Should be sufficiently aware of all Club programs to answer basic questions and/or direct questions to appropriate person.
- Must be aware of and should meet and greet the public, parents and members who enter the facility.
- Create, prepare and update bulletin boards as needed. It is vital that all bulletin boards be kept neat, attractive and easily readable.
- Maintain order and discipline members as needed. (Report all major discipline problems to the Program Director or Unit Director and/or fill out referral forms.)
- Maintains close, daily contact with Club staff (professional and volunteer), club members, and supervisor to receive/provide information, discuss issues, explain guidelines/instructions; instruct; and advise/counsel.
- Maintain contact with external community groups, schools members’ parents and others.
- May be required to drive the Club van.
- May be required to attend evening meetings and/or limited travel to attend meetings
- May be required to use personal vehicle in course of employment
- Assume other duties as assigned.

- Must be physically able to interact and participate in all Club programs.

TEEN COORDINATOR
PRIMARY FUNCTION:
Under the general supervision of the Unit Direct, the Teen Coordinator plans, implements, supervises and evaluates all six core program activities with particular emphasis on teens. Must be cooperative, friendly and create a safe and harmonious environment. Abide by and support the Club mission to inspire and enable all young people to reach their full potential as caring, productive and responsible citizens.
KNOWLEDGE & SKILL:
- A.A. Degree or 48 credits from an accredited college or a paraprofessional certificate
- Demonstrated experience in planning, organizing, implementing and evaluating supplemental education programs for youth ages 6-18, knowledge of youth development, plus experience with teens or youth at risk.
- Ability to manage multiple tasks at any given time, motivate youth, manage behavior problems and work directly with the general public.
- Ability to get along with diverse personalities, at all times displaying tact, maturity and flexibility.
- Ability to effectively communicate with, organize and supervise members in a safe environment.

UNIT DIRECTOR
PRIMARY FUNCTION:
Under the general supervision of the Director of Operations, the Unit Director manages the overall daily operations of the designated Unit for program, personnel and fiscal management; public relations and resource development focusing on all activities in support of the six core programs. Must be cooperative, friendly and create a safe and harmonious environment. Abide by and support the Club mission to inspire and enable all young people to reach their full potential as caring, productive and responsible citizens.
KNOWLEDGE & SKILL:
- Four year degree, A.A. Degree, 48 credit hours from an accredited college or a paraprofessional certificate
- Demonstrated experience of a minimum of one to three years in a non-profit agency, Boys & Girls Club or similar organization; planning, organizing, implementing and evaluating supplemental education programs for youth ages 6 - 18.
- Demonstrated ability in personnel supervision, facilities management, and the recruitment and retention of key personnel; and ability to effectively manage members, staff and the general public to professionally handle member discipline issues.
- Ability to get along with diverse personalities, at all times displaying tact, maturity and flexibility.
- Strong communication skills, both oral and written with a demonstrated ability to work with youth, parents and community leaders.
- Working knowledge of budget preparation, control and management; skills in fund-raising events
- Ability to recruit, train, supervise and motivate staff.
- Possess basic qualities of good character, personality and leadership that promote a positive image of the Boys & Girls Club.

KEY ROLES:
- Establish Unit programs, activities and services that prepare youth for success and that create a club environment that facilitates achievement of Youth Development Outcomes.
- Plan, develop, implement and evaluate Unit overall programs, services and activities to ensure they meet stated objectives and member needs and interests; compile regular reports reflecting all activities, attendance and participation.
- Recruit, manage and provide career development opportunities for branch staff and volunteers. Conduct regular staff meetings.
- Ensure administrative and operational systems are in place to maintain a healthy and safe environment in the operation of the physical properties and equipment of the Club.
- Manage Unit financial resources assisting in the development of annual budgets. Control expenditures against budget.
- Develop partnerships with parents, community leaders and organizations.
- Develop and maintain public relations to increase the visibility of programs, services and activities within the Club and the community
ADDITIONAL RESPONSIBILITIES:
- Plans, organizes and directs/manages the overall unit programs. Oversees the administration of programs and activities that support Boys & Girls Clubs’ Youth Development Strategy. Evaluates programs on a continual basis and insures program/activities address the diversity of all members.
- Insure proper record keeping including members’ files. Manages administrative functions of all program areas and assigned resources and fulfills these functions in a timely and comprehensive manner. Assists in preparation of unit budget and manages operations within approved budget.
- Develops and fosters a positive climate for youth development based on the mission and goals of the Boys & Girls Club of America. Ensures that members: actively participate in a variety of programs/activities; seek advice/guidance from staff in regard to problems; and receive caring, respect and recognition for their efforts. Oversees guidance services to members to assist them in fulfilling and making appropriate choices in educational, personal, physical, social, emotional and vocational needs.
- Recruits, trains, directs, motivates, evaluates and supervises unit staff and volunteers. Takes steps to assure the career development of staff. Makes recommendations to Director of Operations and Executive Director for final staffing decisions.
- Oversees the maintenance and operation of the physical property and equipment of the Club; responsible for overall cleanliness, attractiveness and safety of property and equipment. Requisition departmental supplies as needed.
- Oversee the completion of monthly statistical reports concerned with departmental participation and attendance; manage special programs and/or events (i.e. Torch Club, Keystone Club, member of the Month, etc.) and participate in the implementation of other unit activities as required.
- Works with staff on all monthly special events and when necessary, to carry out scheduled programs in all departments.
- Administer first aid when necessary and fill out appropriate Accident/Injury report as needed.
- Hold regular staff meetings to assure compliance within Unit; attend mandatory staff meetings, any conferences or training sessions that the position requires
- Assure all staff shirts and badges are worn during Club operating hours and all Club outings where members are present. Supply staff shirts and badges as needed. Ensure all unit staff are wearing staff shirts as badges at all times.
- Promotes and markets programs to members by insuring that daily activities and monthly special event schedules are posted and current, makes daily announcements of upcoming events and provides timely program information for the development of advertising and promotion through mailings fliers, and media.
- Must be aware of and assure that all staff properly meet and greet the public, parents and members who enter the facility.
- Create, prepare and update bulletin boards for the inclusion room as needed. It is vital that all bulletin boards be kept neat, attractive and easily readable.
- Maintain order and discipline members and staff as needed. Report all major discipline problems to the Director of Operations or ED and/or fill out referral forms. You may dismiss members from your department for one day.
- Maintains close, daily contact with Club staff (professional and volunteer), club members, and supervisor to receive/provide information, discuss issues, explain guidelines/instructions; instruct; and advise/counsel. Exercise authority in problems relating to members, utilize guidance and discipline plan.
- Maintain contact with external community groups, schools members’ parents and others.
- Develops cooperative relationships and interest in Club activities and events within the community including parents, general public and civic groups. Represents the organization and interprets its objectives, standards and programs. Promotes and stimulates membership from within the community which includes planning and implementing annual membership drives.

Administrative Assistant
Primary Functions:
Provides regular clerical and administrative support to Executive Director, Resource Development Team and other Club senior staff, as directed. Prepares correspondence and reports, maintains schedules, calendars, answers telephones, assists with membership files and software, will help to implement and be super user of donor software, maintain electronic and hard copy files and will be responsible for fundraising events, board meeting logistics and all campaigns. Other duties as needed.
Skill/Knowledge Required:
- High School diploma or GED, college degree preferred
- Prior administrative assistant experience preferred
- Minimum one year experience in office/administrative setting
- Proficient in Microsoft Office, Word, Excel, Power Point, Outlook
- Adobe Acrobat knowledge a plus
- Keyboard speed of a50 wpm minimum
- Possess and maintain a valid California Drivers License with good driving record
- Mandatory CPR and First Aid Certifications
- Must be able to lift 50 lbs.
Key Roles (Essential Job Responsibilities):
- Performs regular secretarial duties, preparing correspondence and reports as request by supervisor and composes draft letter following establish formats. Proofreads all materials for accuracy prior to supervisory review and signature.
- Maintains Executive Director’s calendar, scheduling meetings and making logistical and travel arrangements as necessary for internal and external meetings.
- Responsible for all board meeting preparations including food and beverages, meeting set up including documents, handouts, etc. Any audio/visual or teleconference needs or any other duties need as directed by supervisor.
- Record and distribute monthly board meeting minutes, take and distribute weekly leadership meeting minutes, Distribute meeting packets as needed on monthly and weekly basis. Send out meeting reminders to all participants.
- Maintain master schedule of Club activities and events, collecting and disseminating information to Club staff, volunteers, members and families as instructed.
- Answers telephones, proving general information, referring callers to appropriate staff member, or taking messages as needed.
- Maintains electronic and hard copy filing systems, making sure they are accurate and timely and facilitate easy retrieval of information.
- Research and order office items such as computers, software, etc.
- Responsible for fundraising duties such as all mailings for fundraising efforts, maintaining databases, seating assignments for events, working closely with sponsors, vendors, volunteers and staff on all events,
- Complete all thank you letters in accordance with the gift acceptance & recognition policy.
- Maintain excel charts, PowerPoint presentation; assist with website content as needed.
- Work with confidential records and information with utmost integrity.
Additional Responsibilities:
- Administer first aid when necessary and complete appropriate accident/injury report as needed.
- Attend mandatory staff meeting, board meetings and any conferences or training session that the position requires.
- Attend all fundraising events for the clubs; this may include limited weekends and potential holidays.
- Must be knowledgeable in Club programs to answer basic questions and/or direct questions to appropriate club staff.
- May be required to drive the Club van.
- Lifting items in the office and events is required.
Relationships:
Internal: Maintains close, daily contact with Executive Director, Director of Resource Development, Board Volunteers and staff members as needed, especially during events.
External: Maintain contact with external community groups as needed. Work closely with Event Volunteers, Corporate Sponsors, Event Guests and Donors.
